Whether you’re a solo entrepreneur with a one-truck pumping startup or a larger outfit with a dozen-truck fleet, keeping track of your overhead can be a time-sink without the right technology. Tank Track, which was developed specifically for septic companies as an alternative to one-size-fits-all business software, is designed to automate day-to-day operations in the office, on the job site and when working with customers.

Among other features, Tank Track can streamline scheduling as well as provide turn-by-turn navigation and service checklists for pumpers. It keeps track of provided services and prices, customer and property information, and document communication. It is equipped with user-friendly automated invoicing paired with integrated payment processing and payment due notifications. And it can help companies maintain compliance with support for reporting, auditing, waste manifests and pumping service records.

“The way our system combines the use of estimates, invoices, receipts and service contracts with integrated payment processing is a genuine force multiplier for most companies,” owner and Senior Account Executive Brian Stillwell says, adding that the tools can significantly reduce time spent on administrative tasks, especially when upgrading from spreadsheets and notecards.

Over 10 years after the software launched, the company still rolls out new features based on feedback from septic professionals.

“We regularly speak with industry professionals, including owners, office managers, and technicians,” says Stillwell. “As subscribers make us aware of new ways to streamline operations, we continue to innovate and increase their efficiency. That has been our strategy from day one and we can’t imagine making progress any other way.”

Most recently, Tank Track has added support for state-level regulations, including digitized templates for Ohio’s Septage Pumping Report Form as well as Texas’ “trip ticket” system. Specifically, Texas Administrative Code requires pumpers to document septage-disposal information with signatures from each customer, technician and waste site within 15 days of disposal.

“So we got to work by studying the statute, having a few more conversations with Texas pumpers, and then we built an online trip ticket that fills itself out and captures in-person electronic signatures, and remote signatures, when necessary, from each customer and waste site manager,” Stillwell says.

Tank Track software currently supports pumping-adjacent work like grease trap service, and portable restroom companies are on the horizon.

“Offering full portable support is one of our major goals for the next several months,” Stillwell says.

Tank Track software is cloud-based and accessible via web browser and optimized for computers and tablets, with support for up to 15 service trucks.
